What is the Welcome back page?

 

·         The Welcome back page is the initial aces.online page that displays after a successful login.

 

·         To access client information, a Name Search or SSN search can be completed.  See Search.

 

·         To access information from the Quick Navigation section, take the following steps:

 

1.    In the Select a Type of ID drop down box, click the [appropriate option].

 

2.    Enter the [appropriate ID] in the Enter an ID box.

 

3.    In the Select a Page drop down box, click the [desired page].

 

4.    Click the Go button and the selected page displays.  

 

How do I navigate in aces.online?

 

·         Aces.online is a web based system.  This allows for the ability to quickly navigate between clients, AUs and other processing functions.

 

·         For a list of basic navigation functions, see the following:

 

o    Use the mouse or the <Tab> key to move from one field to the next.

 

o    Use the mouse or the <Shift><Tab> keys to move backward from one field to the next.

 

o    Use the mouse or the <Space Bar> to enter or remove a checkmark in a checkbox.

 

o    Drop-down Lists - To navigate to a section within a list, enter the first letter of the word you are looking for. Use the up and down arrows on your keyboard or the drop-down slider to scroll through the lists. When you have highlighted the word you want to select, <TRANSMIT> or click the mouse button.

 

o    To remove an entry from a drop-down list box, click the blank entry at the top of the list.

 

o    Click the Next button after entering client data on each page to access the next page in a normal flow.

 

o    Click the Skip button to move to the next page without entering data on the current page. This option is not available on all pages.

 

o    Click the Back button to return to the previous page. This option is not available on all pages.

 

o    Click the Cancel button to exit a pop up window and discard all data that was entered.

 

o    Click the Reset or Reset All button to clear all entries on a page.

 

o    Click the Go button to navigate to a new page or execute some search options.

 

o    Click the Search button to execute a search.

 

o    Click the Need Help? or Help links for screen level assistance.

 

o    Click the Add button to add a selection or item.

 

o    Click the Submit, Save or Commit button to save any updated data.

 

·         More detailed navigation and processing steps are available in the individual chapters in the ACES Users Manual.

 

How do I log off of aces.online?

 

·         To log off of aces.online select the Logoff link located at the top or bottom of any aces.online page.


NOTE:

Closing the internet browser alone does not disconnect your aces.online session.  If another person accesses aces.online from the same computer, they will be automatically logged in to aces.online with your User ID.

What is the aces.online Site Map?

 

·         The aces.online site map is a page which allows users to view all page selection options as links, providing more flexibility to navigate in aces.online. The links may be viewed at either the client level or the assistance unit level.

 

How do I view the aces.online Site Map from the Welcome back page?

 

·         To view all selection options in aces.online as links from the Welcome back page, take the following steps:

 

1.    From the Select a Type of ID drop down box, click Assistance Unit or Client.

 

2.    Enter the AU number or Client ID in the Enter an ID box.

 

3.    From the Select a Page drop down box, click Map View.

 

4.    Click the Go button.  Either the Assistance Unit >> Map View or the Client >> Map View page displays depending on the type of ID used.

 

How do I view the aces.online Site Map from any client or AU level page?

 

·         To view all selection options in aces.online as links from any Client level or Assistance Unit level page, click on the Map View link located at the right side of the navigation bar.  The Client >> Map View or Assistance Unit >> Map View page displays.

How do I search for a client using the name search function?

 

·         To search for a client using the name search, take the following steps on the Welcome back page:

 

1.    Enter the [client’s first name] in the First Name field.

 

2.    Enter the [client’s last name] in the Last Name field.

 

3.    In the Gender drop down box, click Male or Female.

 

4.    Click the Go button and the Client Search Results page displays.

 

o    The client’s Birth Date and Last 4 Digit SSN are not required fields but can be used to narrow the search results.

 

How do I search for a client using the SSN search function?

 

·         To search for a client using the SSN search, take the following steps on the Welcome back page:

 

1.    Enter the [client’s social security number] in the Enter a SSN field.

 

o    Dashes are not required in the Enter a SSN field.

 

2.    Click the Go button and the Client Search Results page displays.

 

How do I complete an Address Search?

 

·         To search for an address, take the following steps:

 

1.     From the Welcome back page select the Address Search link.

 

2.    From the Address Search page, enter the [street name] in the Street Name field and the [city name] in the City Name field.

 

o    For more specific results, information can also be entered in the House/Building Number, Street Direction, Street Type, City Direction, Apartment Number and Zip Code fields.

 

3.    Click the Search button and the Address Search Results page displays. 

 

How do I complete an ACES User Search?

 

·         To search for an ACES user, take the following steps:

 

1.    From the Welcome back page select the User Search link.

 

2.    From the User Search page, select ACES User Search.

 

3.    From the ACES User Search page, enter one of the following:

 

o    [ACES 4 letter User ID] in the ACES User ID field.

 

o    [User’s last name] in the Last Name field.

 

o    Select [CSO] from the CSO drop down list.

 

o    [User’s status] in the User Status field.

 

4.    Click the Search button and the User Details page displays.

 

o    Advanced searches can also be completed by selecting any of the following:

 

    Only Non-Standard Security Profiles.

 

    Unit Type.

 

    Unit Number.

 

How do I complete an aces.online User Search?

 

·         To search for an aces.online user, take the following steps:

 

1.    From the Welcome back page select the User Search link.

 

2.    From the User Search page, select aces.online User Search.

 

3.    From the aces.online User Search page, enter one of the following:

 

o    [aces.online user ID] in the aces.online User ID field.

 

o    [User’s last name] in the Last Name field.

 

o    Select [Department] from the Department drop down list.

 

o    [ACES 4 letter User ID] in the ACES User ID field.

 

4.    Click the Search button and the Search Results page displays.

 

5.    Click the [desired user] and the User Details page displays.

 

How do I complete a TPL Organization Search?

 

·         To search for a TPL Organization, take the following steps:

 

1.     From the Welcome back page select the TPL Organization Search link.

 

2.    From the TPL Organization Search page, enter either:

 

o    [Organization code] in the Organization Code

 

o    [Organization name] in the Organization Name field.

 

    If a partial organization name is entered, the results return any entries that start with the data entered.

 

3.    Click the Search button and the TPL Organization Search Results page displays.

 

How do I complete a UC/Wage Search?

 

·         To search for UC/Wage information, take the following steps:

 

1.    From the Welcome back page select the UC/Wage Search link.

 

2.    From the UC/Wage Search page, enter only one of the following:

 

o    [Client’s Client ID] in the Client ID field.

 

o    [Client’s SSN] in the Client SSN field.

 

o    [Client’s last name] in the Last Name field.

 

o    In the ESD Crossmatch Type drop down box, select either Unemployment Compensation or Wage.

 

3.    Click the Search button and the Unemployment Compensation Search Results or ESD Wage Search Results page displays.

 

4.    Select [Client’s SSN] from the SSN column and either the Unemployment Compensation or Wage information page displays.

 

How do I complete a Vehicle/Vessel Search?

 

·         To search for Vehicle/Vessel information, take the following steps:

 

1.    From the Welcome back page select the Vehicle/Vessel Search link.

 

2.    From the Vehicle/Vessel Search page, enter the following:

 

o    [Search type] in the Search type field.

 

o    [Search value] in the Search value field.

 

o    [City] in the City field.

 

    City is an optional selection.

 

3.    Click the Search button and the Vehicle/Vessel Search Results page displays.

 

o    Advanced searches can also be completed by selecting the option to Include Inactive.

 

How do I complete a Client Registry Search?

 

·         To search for a client using Client Registry, take the following steps:

 

1.    From the Welcome back page select the Client Registry Search link.

 

o    A new window displays with the Client Registry system.

 

How do I complete an Online Service Access (OSA) Search?

 

·         To search for an OSA record, take the following steps:

 

1.    From the Welcome back page select the Online Services Access (OSA) Search link.

 

o    For additional information on OSA, see Online Service Access.

·         Some aces.online pages currently have help function links on the page.

 

·         Help functions give basic information on the page or process and may include a list a frequently asked questions.

 

How do I access help functions?

 

·         For pages that include help functions, one of the following links display:

 

o    Help link in the page header in the upper right hand corner.

 

o    Help link on the ride side of the grey section heading line.

 

o    Need Help? link in the upper right hand corner of a pop up window.

 

·         Click the [appropriate link] and an aces.online Help window pops up.
