How do I transfer a case to another CSO?

 

·         Case transfers must be processed in the ongoing month.

 

·         A closed case cannot be transferred to another CSO unless it is first reinstated.  See Reinstatement chapter.

 

·         To transfer a case to another CSO, take the following steps:

 

1.    On the WMEN screen, select Option R – Interim/Hist Change.

o    Enter the [Client ID] in the Client ID field.

 

2.    On the ADDR screen:

o    Enter the [new CSO number] in the CSO field at the top left of the ADDR screen.

 

o    If the client is reporting a new address, the address should also be updated before continuing the case transfer process.

 

3.    To continue the case transfer, <TRANSMIT> and update any other required information on the case.

 

4.    Call DONE and <TRANSMIT> to complete the case action.

 

·         The case transfer takes place on-line in real time.  As soon as eligibility is confirmed, the AU is electronically transferred to the other office.

 

·         Until batch runs that night, the owner of the case in the previous office still has access to the case.

 

·         In overnight batch, the system generates Letter 023-03 (Information/Action Request for Transfer) to the client and Alert 218 – Case(s) Transferred to This Caseload to advise the new user the case has been transferred.


When are cases AUTO transferred to another CSO?

 

·         When an F06 AU trickles to a pending F07 or F99, the pending AUs AUTO transfer to CSO 076 in overnight batch and Alert 218 – CASE (S) TRANSFERRED TO THIS CASELOAD generates.

 

·         A CSC or CSO user screens in a new medical-only AU(s). The AU(s) transfers to the CSC corresponding with the client’s geographical region.

 

·         A CSC user screens in a medical and an associated non-medical program. The AU(s) auto transfers to the head of household’s (HOH’s) CSO of residence.

 

·         A CSC user adds a non-medical program to an existing medical-only AU assigned to a CSC. The AU(s) auto transfers to the HOH’s CSO of residence.

 

·         A CSO user adds a non-medical program to an existing medical-only AU assigned to a CSC.  The AU(s) transfers to the HOH’s CSO of residence.
