Copy Back

Revised October 28, 2007

Purpose:

New Application – No Active Assistance Unit

One or More Active Assistance Units

New Application - No Active Assistance Unit

  • When data is entered through Option O - Interview - the information is always entered in the ongoing month.

  • If there are no active associated AUs in the case the information entered will be copied back to all months from the month of application through the ongoing month.

  • When the application is processed through Option P - Process Application Month - the user can change any information the system copied back that is not correct.

  • The ongoing month does not have to be processed because the information is assumed to be correct as it was entered at the time of the interview.

EXAMPLE

  1. Application screened on May 5th and interviewed on May 10th.

Information entered in Option O - Interview - is for the ongoing month of June and will be copied back to May. Any information entered in the ongoing month (June) that is not correct for the application month (May) must be changed in Option P - Process Application Month.

  2. Application screened on May 20th and interviewed on May 28th.

Because monthly issuance has run for May the ongoing month for this case is July. Information entered in Option O - Interview - is for July and will be copied back to May and June. Any information that is not correct for the application month (May) or the next month (June), must be changed in Option P - Process Application Month.

One or More Active Assistance Units

  • If a client is pending in one AU, and active in an associated assistance unit, copy back will not work for data entered in Option O – Interview - at the AUor client level.

  • Because the client is already active the system requires information be entered in each month individually to ensure it is accurate.   See Process Application Months.

EXAMPLE

Client is eligible for S02 and S03 medical (SSI related CN and QMB). The S02 AU was processed and finalized first. Next the S03 AU was processed and finalized. The S03 AU was denied because the worker did not enter Medicare Part A valid value of "Y" on (DEM2).

Normally you would go back into interview, correct the information, process and finalize the application with no problem.

However, in this case because the S02 AU has been finalized and is now in A - active status, any information changed after the S02 AU was finalized will not copy back. The user must go into each month and enter a Medicare Part A valid value of [Y] for benefits to be approved.

NOTE: You have interviewed, processed, and finalized an AU. You get erroneous results; one of the AUs is denied when you know it should be approved.

You correct the information in the ongoing month but still not getting the results you expect. Inquire on each month, historical, current, and ongoing to make sure the data you changed in the ongoing month is also correct for all the other months.
