Access ITIS Inquiry Subsystem

ACES can be used to inquire about ITIS eligibility and payment history. This process is initiated through the (XMEN). The ITIS subsystem in ACES contains pre-ACES ITIS case information.

  1. Enter Option [X] - Conversion in the Selection field on the (WMEN).

  2. <TRANSMIT> and the (XMEN) screen displays.

  3. Enter Option [C] – ITIS Inquiry Subsystem in the Select one of the Following fieldOn the (XMEN).

  4. <TRANSMIT> and the (XINQ) screen displays.
     

Case Number Inquiry

The Case Number - Case Data option allows the user to access case specific data from ITIS including case number, status, and household member data including birth dates, Social Security Numbers, household income.

  1. Enter Option [02] - Case Number – Case Data in the Inquiry Type field.On the( XINQ ).

  2. Enter the [ITIS case number] in the Case # field. The client's ITIS case number can be found through Option 01 or 03 on the (XING ). The client's ITIS case number will not be found in the hard copy case file.

  3. <TRANSMIT> and the ( ITIS CASE DATA) displays.
     

Case Status Inquiry

  1. The Case Number – Case Status option allows the user to inquire about case data from ITIS including case status, last process / authorization date, and grant amount. Enter Option [05] - Case Number – Case Status in the Inquiry Type field on the (XINQ). 

  2. Enter [client's ITIS number] in the Case # field.

  3. <TRANSMIT> and the ( ITIS CASE STATUS) displays.
     

Exact Name Match Inquiry

The Exact Name Match option allows the user to inquire about a specific client using the client's name. Using this option displays a list of all ITIS clients matching the client data entered.

  1. Enter Option [01] - Exact Name Match – Eligibility in the Inquiry Type field on the (XING).

  2. Enter the [client's last name] in the Last Name field.

  3. Enter the [client's first name] in the First Name field.

  4. Enter the [middle initial] in the MI field. If the client has a middle initial in ITIS and it is not entered for the Exact Name Match Inquiry, ACES displays Edit Message 1566 - The ' ITIS' Eligibility Data Is Not On File.

    Additional information like date of birth and SSN can be entered to narrow the search criteria, but is not required. The more information you enter the more specific the search will be.

  5. <TRANSMIT> and the ( ITIS ELIGIBILITY DISPLAY) displays.
     

Medical ID Card Information Inquiry

Not valid.

 

Name List Inquiry

The Name List option allows the user to access a list of names from eligibility records that have a partial name match with the name entered on the (XINQ).

  1. Enter Option [07] - Name List in the Inquiry Type field on the (XINQ).

  2. Enter the [client's last name] in the Last Name field.

  3. <TRANSMIT> and the ( ITIS ELIGIBILITY NAME LIST) displays.

  4. Each name on the screen is numbered. To obtain specific case information, enter the number associated with the client's name in the Selection to be Displayed field.

    Then, based on the information you want to see, press the function key that will display the desired information.

    <F13> = Takes you back to the (XINQ).
    <F14> = (ITIS Eligibility Display).
    <F15> = ITIS Case Data.
    <F17> = If there is more than one page of names, go to the next page.

Partial Name Match Inquiry

The Partial Name Match option allows the user to access data from all eligibility records on ITIS that match a partial name entered on the (XINQ).  The name match is on the first five - (5) characters of the last name, the first initial, and the middle initial (if entered).

  1. Enter Option [06] - Partial Name Match in the Inquiry Type fieldOn the (XINQ).

  2. Enter [last name or first five characters of the last name] in the Last Name field.

  3. The first initial of the client's first name and middle initial can be entered if you have this information.

  4. <TRANSMIT> and the( ITIS ELIGIBILITY DISPLAY) displays.
     

PIC - Code Inquiry

The PIC – Code option allows the user to access the (ITIS ELIGIBILITY DISPLAY) when the user has a client's PIC code. A list displays client(s) names that match the PIC - Code entered.

  1. Enter Option [04] - PIC - Code in the Inquiry Type field on the (XINQ).

  2. Enter the [client's last name] in the Last Name field.

  3. Enter the [client's birth date] in the DOB field.

  4. <TRANSMIT> and the ( ITIS ELIGIBILITY DISPLAY) appears.
     

SSN Inquiry

The SSN option allows the user to access the ( ITIS ELIGIBILITY DISPLAY) information by entering only the client's Social Security Number. The information displayed is based on the SSN most recently entered into the system.

  1. Enter Option [03] - SSN in the Inquiry Type field on the (XINQ).

  2. Enter the [client's SSN] in the SSN field.

  3. <TRANSMIT> and the ( ITIS ELIGIBILITY DISPLAY) appears.
