Procedure Used to Process Application Month

To access, review, and if needed, change data in an application month:

  1. Enter Option [A] - Assistance Unit / Client - in the Selection field on the (WMEN).

  2. <TRANSMIT> and the (AMEN) displays.

  3. Enter Option [P] - Process Appl Months in the Selection field on the (AMEN).

  4. Enter the [AUID] in the AUID field.

  5. <TRANSMIT> and the (APP1) displays.

    1. The (APP1) is used to access data collection screens for each month(s) of a pending application.

    2. All benefit months in the application period are listed, from the first month of the application to the ongoing month, on the (APP1).

    3. All benefit months needing validation of eligibility determination data display a review status of "Waiting Review."

  6. On the (APP1) enter [Y] in the SEL field for the application month.

  7. <TRANSMIT> and the (ADDR) displays.

  8. To go to a specific screen, from the (ADDR), enter the [appropriate screen ID] in the Screen ID field in the upper right hand corner of the screen, or leave blank to go to the next screen in the data collection sequence.

  9. <TRANSMIT> and the screen is updated and the requested screen displays or the next screen in the data collection sequence displays if no screen was requested.

  10. Enter [DONE] in the Screen ID field in the upper right hand corner when finished updating the case.

If the information in the prior months is EXACTLY the same as the information in the ongoing month and no changes are required, enter [DONE] in the Screen ID field on the (ADDR).

  1. <TRANSMIT>

  2. If mandatory information is missing from the case the (ERRO) displays.

  3. Screen edits tell what information must be completed before the case can be processed and finalized.

  4. If there is missing verification on the case, the (VERF) displays.

  5. If the missing verification is mandatory the case may be denied unless the needed verification is entered.

  6. Enter [DONE] in the Screen ID field in the upper right hand corner when finished updating the case.

If the information in the prior months is EXACTLY the same as the information in the ongoing month and no changes are required, enter [DONE] in the Screen ID field on the (ADDR).

  1. <TRANSMIT> and ACES returns to the (APP1) and the month just completed displays the status of "data commit in progress".

  2. Enter [Y] in the SEL field for the next month with a review status of "Final Edits Needed".

  3. Repeat this process until all months have had Final Edits completed.

  4. When finished processing application month(s), you must press <F13> to return to the (AMEN).
     


Purpose of Process Application Month

  • "Process Application Months" is required so that the user reviews the data entered during interview to ensure it is correct in all months of the application.

  • Information entered during the interview process is always entered in the ongoing month and is copied to all months included in the application. This process is called 'copyback'.  See Copy Back.

  • The exception to information being automatically copied back is if the client is active in another AU. Copy back does not work at the AU or client level when the client is active in another AU associated with the pending case.

Because the AU or client is active the information must be entered in each month through Option P on the ( AMEN ), so the user can confirm that the information being entered is correct and understands how the new information entered for that client affects eligibility in the other case.

 

SPECIAL FUNCTION KEYS

When the user presses: This happens:
F13 - amen ACES exits the (APP1) and returns to the (AMEN).
