Case Review

Purpose: This category describes the case review process used by the Social Services Supervisor.

GUIDELINES

  1. CSO Social Services Supervisors are responsible for monitoring the work of their staff by reviewing 5% of an experienced worker's caseload, in addition, for new workers, a 100% review is recommended for the first 6 months in these monthly reviews the supervisor monitors for.     
    1. Adherence to policy.

    2. The quality of services provided to clients, and

    3. Expenditures authorized for services to clients. Expenditures are reviewed to ensure:

      1. The case plans support all payments made to vendors and clients.

      2. Discrepancies in case plans and payments have been corrected.

      3. Adequate agency records have been maintained.

  2. Regions or CSOs develop the sampling process and the quantity of cases to be reviewed.

  3. The supervisor may use the following auditing tools.
    • The Case Reading Guide (CRG), DSHS 15-243(X)

    • GAU Audit Program - GAU Database Web Application Web site on the DSHS Intranet at http://147.56.243.75/GAU


WORKER RESPONSIBILITIES

The supervisor:

  1. Informs workers when cases are due for review.

  2. Once the review is complete, provides the SW with a copy of the completed audit for the case.

  3. Follows regional or CSO procedures for documenting the review conclusions, and

  4. Monitors cases identified for corrective action.
